Client Services Coordinator (Bilingual)

Reports to: Client Services Manager
Hours required: 20-40 hours/week, depending on skills
Salary: DOE

The Opportunity
Women’s Initiative is seeking motivated, energetic candidates to apply for the Client Services Coordinator position. This position is a key player in the Program Department. The Client Services Coordinator is responsible for recruiting and enrolling participants in our growing business training program. Qualified candidates will possess a diverse skill set that includes public speaking, outreach, event planning and administrative skills. The Client Services Coordinator demonstrates a commitment to providing a fantastic customer service experience to our diverse clientele. Superior communication skills in English and Spanish are a must.

JOB RESPONSIBILITIES:

Orientation Training and Coordination
  • Conduct onsite and off-site Orientation sessions accordance with WI’s Orientation schedule
  • Prepare and send confirmation letters to Orientation attendees; manage attendees who need to reschedule
  • Assist in coordinating orientation scheduling
  • Prepare Orientation packets and keep current information
  • Input Orientation registration forms into the organizational database and generate reports
  • Follow up with potential attendees who did not attend Orientation to reschedule
  • Assist with outreach and offsite Orientation sessions, if necessary
Simple Steps and Paso a Paso (Business Training Course)
  • Screen applications for eligibility in accordance with WI policies
  • Notify applicants of acceptance or rejection
  • Register clients in course and collect fees; compile class rosters
  • Prepare training curricula and materials for clients
  • Assist in coordinating course and orientation scheduling
  • Prepare and maintain permanent client files for all Spanish language clients
  • Fill out grantors’ forms in accordance with local, state and federal grant guidelines
  • Input client application data into organizational database and generate reports
  • Other duties as may be assigned
Intake and Administrative Duties
  • Coordinate eligibility screening and registration for Orientation sessions in Oakland office including telephone, online and in-person registrations
  • Provide referrals to other agencies as needed; coordinate with Outreach and Community Relations Associate and other staff members to maintain updated referral sheets and resource binders
  • May provide back-up support for front desk/reception area, including answer and direct overflow calls, and respond to telephone and walk-in inquiries and requests for information in a pleasant and service-oriented manner
PREFERRED SKILLS AND QUALIFICATIONS:
  • BA + 2 years relevant experience (or equivalent experience)
  • Excellent interpersonal and oral and written communication skills
  • Demonstrated ability to relate well to colleagues and people of diverse ethnic and economic backgrounds
  • Ability to coordinate and prioritize several tasks
  • Detail-oriented
  • Familiar and comfortable with numeric data
  • Experience with income verification a plus
  • Excellent PC skills, including word processing, spreadsheet and database management programs in a Windows-type environment
  • Trouble shooting skills
  • Flexible time schedule; some evenings and occasional weekends required
